Receipt groups are a convenient way to assign multiple users to the workflow of an invoice in an administration with one action, promoting convenience and efficiency without manual additions.
Under the 'Management' heading, we are in the Receipt Groups. It is possible to select a receipt group on the left-hand side of the screen. Then, on the right-hand side, it is possible to create an appropriate name for this group. Below, the appropriate administration has to be selected. Below this, it is possible to indicate with a tick whether the approval has been completed with 1 action or not. Finally, at the bottom of the page is the option to select regarding users of this receipt group.
To edit/view reception groups, navigate to Manage > Reception groups.
To create/edit a reception group, follow these steps:
- Select the appropriate reception group.
- Enter an appropriate name.
- Select the administration for which the reception group is intended.
- Indicate whether approval is complete with one action. If the checkmark is disabled, all users of the reception group must give approval. If it is enabled, approval from one user is sufficient.
- Select the relevant users of the selected reception group.
To assign receipt groups, follow these steps:
- When circulating an invoice, select the created receipt group*.
- The receipt group is automatically displayed in the recipient list.
- You can now consider enabling or disabling the '1 action' checkbox. When the tick is on, the invoice is approved by one budget holder, usually the first one. When the tick is off, every budget holder in the group must give approval.
- Press circulate to complete the allocation.
- Shortcut key: Ctrl + Enter
Please note that receipt groups must be set up per administration and are only available for invoices within that administration.
