Mails are stuck in the mailbox

Are you noticing that the mailbox is no longer being read? This could be due to several things.

  1. Has a folder location or foldername in your mailbox been changed recently?
    The settings that control which folders should be used are very precise and if something has been changed (perhaps by accident), the mailbox may no longer be read. 
    In this case, restore the folder and only adjust it after you have reported it to us. That way we are aware of this and can adjust it for you in time. 
  2. Are the attachments in the e-mail in .pdf (or .xml) format? Other attachments are not recognized by the application and are then considered SPAM. These invoices will therefore not end up in Easy Invoice. 

Please note! The following only applies if your mailbox uses SSO*.

3. Are you using Outlook Live (Office365)? If so, a new Client Secret Value may also need to be created. By default, this expires after 2 years and will then need to be replaced in Azure. If you do this, you will get a new client secret value. Could you share it with us? Then we will replace it for you in the settings.

Please note! This last step does not apply to cloud clients.**

4. It is possible that the windows service task 'Easy Distribution' is disabled. This application is responsible for retrieving the invoices files from your mailbox. 

To check this:

  1. On the application server, go to Windows Services
  2. Look among all service tasks to see if you can find the service task 'Easy Systems Easy Distribution Application Service'.
  3. Check whether it is set to 'Running'.

Is this not the case? Then turn it on. Your mailbox should then be checked out again.

Flexicapture - Abbyy

Do you use Flexicapture? Then there could possibly be another reason why your mailbox is suddenly no longer being read:

  1. Was Multi Factor Authentication (MFA) recently set up on the mailbox? This may prevent the mailbox from being read. In this case, please report this to us so that we can discuss it with you. 
  2. Are the attachments in the e-mail in .pdf format? Other attachments are not recognized by the application. These invoices will therefore not end up in Easy Invoice. 


* SSO (Single Sign On), in this case we mean the login method of the Outlook Live (Office365) mailbox.
